EVENT MANAGER

SUMMARY: Coordinate and manage events at Osceola Heritage Park.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • Meets with client groups to plan and organize assigned meetings and/or events.
  • Coordinates activities with the various service contractors and vendors for assigned meetings and/or events.
  • Coordinates/Assists in all outside services and equipment required for events
  • Works in conjunction with Food & Beverage in meeting and determining client needs
  • Keeps clients informed as to status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements and other relevant details.
  • Reviews floor plans and determines requirements
  • Develops and designs floor layouts on AutoCAD as needed
  • Writes event work orders, contractual obligations related to insurance, deposits, etc.
  • Maintain accurate records or pre-event planning, client request, billable charges, service orders, contractual requirements, etc.
  • Prepares cost estimates and monitors final billing
  • Assures quality service & timely invoicing
  • Attends appropriate planning, organization and other event and facility meetings in support of facility operations.
  • Explains and guides clients in preparation of events by interpreting and explaining contract provisions, policies and procedures.
  • Supervises staff and oversees all aspects of facility operations related to events.
  • Assists in the supervision of the part time event service staff as needed
  • Serves as Event Manager for OHP events
  • Serves as primary liaison between clients and facility departments.
  • Develpps and maintains post event information data base files
  • To include Post Assessment and Client Evaluation Forms
  • Interviews and recommendations for future actions when needed
  • Plans, coordinates, and executes events according to needs of the client
  • Issues proper paperwork and communicates all event needs and information to all departments in a timely manner via EWO’s and Event Change Sheets
  • Interpret and explains contract provisions to clients

  • Monitors and assists with facility setup, changeover, and maintenance in conjunction with Facility Operations Manager as needed
  • Maintains total responsibility and authority over clients, staff, personnel, patrons, security and safety with this role
    • Attends weekly or other meetings as needed to meet role and responsibility
    • Maintain harmonious relationship with all departments and staff
    • Ability to work extended/irregular hours including nights, weekends and holidays

QUALIFICATIONS:

  • B.S. degree in business or hospitality
  • At least one year of actual experience in public facility management, promotion, or operation of conventions or trade shows or service related operations whose primary function is to provide direct on-site service to the public.
  • Working knowledge of Meeting Matrix.
  • Bilingual in English & Spanish is a plus but not required.

ACCOUNTANT  (ENTRY LEVEL)

The Accountant’s primary responsibilities include the following functions in accordance with SMG/OHP policies.

 MAJOR RESPONSIBILITIES:

  • Create and enter Journal Entries.
  • Maintain, reconcile, and analyze general ledger accounts.
  • Prepare accounts receivable invoices or post receipts.
  • Track deposits made for events.
  • Review event estimates or draft invoices prepared by event managers or F&B manager.
  • Review revenue reports from outside contractors.
  • Review event reports which may include food & beverage cost reports and POS reports.
  • Reconcile box office transactions and related bank activity.
  • Assist with capital assets and the annual inventory. Track assigned asset tags. Coordinate proper disposition of assets as needed following established procedures.
  • Assist with the preparation of monthly financial statements and supporting schedules.
  • Prepare various financial reports and analysis as requested.
  • Help ensure proper accounting procedures throughout the facility.  
  • Prepare tax reports. 
  • Assist with audits.
  • Other duties as assigned.

 QUALIFICATIONS:

  • Bachelor's Degree (BA) from four-year college or university with a major in accounting;
  • Minimum 2 years’ related experience and/or training is preferred;
  • Experience in public accounting or event facility accounting preferred; 
  • Strong analytical and problem solving skills;

  • Ability to work independently or in a team environment;

COMPUTER SKILLS

CATERING SUPERVISOR

SUMMARY:  The Catering Supervisor will work in conjunction with the Banquet Manager and Catering Sales Manager in both Banquet and Arena Functions within the Catering Department to include, but not limited to, Suite Attendant, Banquets, Meetings, Bars and any other function serving any food and beverage items.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist with the training of new employees.
  • Schedule the appropriate staff for events, oversee and direct staff.
  • Assist with enforcing SMG/OHP policies and procedures including alcohol policies.
  • Serve as liaison with clients.
  • Fulfill the service per each Banquet Event Order (BEO).
  • Prep set up and organization of Catered Event; Prep break down and cleanup of Catered Event.
  • Creativity in designing buffet presentations and coffee break décor.
  • Continuously improve the overall look and appearance of buffets.
  • Maintain a line of communication with the Banquet Manager.
  • Manage banquets in the absence of Banquet Manager/F&B Operations Manager.
  • Assist Banquet Manager with maintaining accurate cogs and labor for an event.
  • Follow and maintain all cost guidelines for labor, beverage & food.
  • Maintain all Banquet equipment cleanliness on a daily basis.
  • Attend Weekly F&B Department Meetings and Menu Meetings.

EDUCATION AND EXPERIENCE

  • High school diploma or GED required;
  • 1 to 2 years’ experience supervising other employees in the food service industry.
  • ServSafe and TIPS Certification or ability to obtain within 90 days of employment.

Telecommunications Technician

 

SUMMARY:  This position is responsible for the installation, maintenance and repairs of facility and client utility communication systems, including telephone systems, computer/data systems (internet), radio and television broadcasts, by performing the following duties:

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Coordinate telephone system provider’s services outside the facility with in-house requirements;
  • Maintains applicable code requirements that apply to cable insulation, ceiling plenum routing and support, wall penetration and fire rating when conduit raceways are necessary;
  • Solve routine and extraordinary field technical problems;
  • Operate communications related computer systems for administrative and functional purposes;
  • Correctly uses and applies test equipment to verify problems exterior to the facility systems;
  • Works from blueprints and develops sketches when necessary;
  • Reads, understands and communicates client floor plan layouts;
  • Maintains inventory of all telecommunications and internet equipment.  Reports inventory status to Director of Operations;
  • Provides internet connections as necessary;
  • Recommend cost effective and cost efficient means of operations of telecommunications infrastructure;
  • Coordinates work with all operations sections; interfaces effectively with all users, providers and peers;
  • Maintains a safe working environment;
  • Attends to and conforms to the policies established by SMG in the successful performance of this position.

EDUCATION AND/OR EXPERIENCE:

  • High school diploma or GED required;
  • 3 to 5 years’ experience as a telephone technician on a major telecommunications system(s);

  • Familiarity with telephone and telecommunication systems used in the facility, including, but not limited to, multi-line phone systems, local area networks and modems;

AVAILABLE PART-TIME POSITIONS

F&B Utility Worker                                                        
The Utility Worker will be responsible for maintaining the Facility‘s main kitchen, Heritage Park kitchen and other areas as requested.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Pull, sort and wash china, silver, glassware and other items per the Equipment Pull List;
  • Maintain cleanliness of kitchen and floors in the facility and Heritage Club kitchens;
  • Maintain dish area and oversee temp staff to ensure dish room duties are completed in a timely manner;
  • Maintain organization of the banquet warehouse;
  • Assist with banquet services setup;
