ENGINEER - FACILITIES MAINTENANCE

SUMMARY: The engineer is responsible for all aspects of facility maintenance and event setup and teardown.  All facility equipment including audio and visual, plumbing and electrical plants; lighting and climate control systems; roofing systems; telecommunications, food service and maintenance/cleaning equipment is operating properly and efficiently, and maintained in good condition.  Provide general facility maintenance and proper delivery of event-related utility services.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Assist with proper and efficient operation of the facilities Building Management System (BMS);
• Provides technical support, oversees and/or assists with repairs and maintenance of all facility systems and equipment;
• Help ensure all equipment is maintained according to factory specifications and appropriate PM information is entered into SMG Altum Maintenance Program;
• Proper utilization of the Work Order and SMG Maintenance Manager systems;
• Adherence to OSHA, NFPA and other applicable safety codes;
• Analyzes needs and plan preventive maintenance programs and upgrades for systems;
• Monitors repair activity to minimum downtown and disruption to facility event activity;
• Setup and teardown event related services, phone and internet, power, A/V, and lighting;
• Other job duties as assigned;

EDUCATION AND/OR EXPERIENCE:

• Graduate of an accredited technical school;
• Minimum of three years’ experience in the operation and maintenance of a public assembly, hotel or other commercial facility;
• Experience in operating a forklift and aerial lift preferred but willing to train;

EVENT MANAGER

SUMMARY: Coordinate and manage events at Osceola Heritage Park.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Meets with client groups to plan and organize assigned meetings and/or events.
• Coordinates activities with the various service contractors and vendors for assigned meetings and/or events.
• Coordinates/Assists in all outside services and equipment required for events
• Works in conjunction with Food & Beverage in meeting and determining client needs
• Keeps clients informed as to status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements and other relevant details.
• Reviews floor plans and determines requirements
• Develops and designs floor layouts on AutoCAD as needed
• Writes event work orders, contractual obligations related to insurance, deposits, etc.
• Maintain accurate records or pre-event planning, client request, billable charges, service orders, contractual requirements, etc.
• Prepares cost estimates and monitors final billing
• Assures quality service & timely invoicing
• Attends appropriate planning, organization and other event and facility meetings in support of facility operations.
• Explains and guides clients in preparation of events by interpreting and explaining contract provisions, policies and procedures.
• Supervises staff and oversees all aspects of facility operations related to events.
• Assists in the supervision of the part time event service staff as needed
• Serves as Event Manager for OHP events
• Serves as primary liaison between clients and facility departments.
• Develops and maintains post event information data base files
• To include Post Assessment and Client Evaluation Forms
• Interviews and recommendations for future actions when needed
• Plans, coordinates, and executes events according to needs of the client
• Issues proper paperwork and communicates all event needs and information to all departments in a timely manner via EWO’s and Event Change Sheets

MARKETING MANAGER

SUMMARY: The Marketing Manager supports the Director of Marketing in the planning and implementation of a complete marketing campaign for the facility and all events including public relations, advertising, social media, promotion, and sponsorships. 

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

• Work in a variety of media platforms (print, web and social media).
• Support the public relations image of the facility.
• Design ads for social media and print.
• Manage and coordinate all marketing activities on event days.
• Maintain relationships with media, industry influencers and key community and strategic partners.
• Create and implement engaging content and campaigns on social and digital media platforms.
• Update the website and all other marketing mechanisms for shows.
• Seek and maintain working relationships with all media representatives, civic and industry organizations, corporate promotional contacts, and all existing clients.
• Coordinate media/market research for upcoming and potential events.
• Coordinate work schedules and job assignments for interns.
• Coordinate all photographic needs for events and promotional purposes.
• Create and maintain digital photo/video library and press clippings.
• Assist with Group Sales when necessary.

LEAD GROUNDSKEEPER

SUMMARY: Under direction, leads and performs semi-skilled and unskilled maintenance, repair and/or construction work.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Performs in a lead capacity and ensures all work under charge is performed according to established safety standards, codes and regulations applicable to the work;

QUALIFICATIONS:

GROUNDSKEEPER

SUMMARY: Maintains the function and appearance of the facility, oversees the building grounds, and assures facility readiness for a smooth operation of events.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Performs a variety of grounds maintenance tasks to include edging, mowing, trimming, waste and litter removal, fertilizing, laying sod and raking. Spreads seed, plants foliage and shrubbery, aerates sports fields, lawns and soils, trims and maintains landscape. Drags and spikes clay infields (when/where appropriate).
• Performs custodial tasks to include emptying and cleaning waste receptacles; washing windows; dusting and polishing furniture; cleaning vents, air filters, fans, walls; changing light bulbs, cleaning restrooms and locker rooms.
• Performs physically demanding tasks requiring use of heavy grounds keeping, maintenance and/or custodial equipment.
• Performs general maintenance and upkeep of tools, equipment and machinery to include lubricates, services and fuels; performs routine light maintenance and repairs; cleans and maintains safe operation.
• Performs minor maintenance and repairs on facilities, structures, equipment, sidewalks, drainage and other County property in one or more of the skilled and semi-skilled disciplines to include plumbing, masonry, carpentry, flooring and irrigation,
• Operates lawn care equipment to include manual and riding lawn mowers, sports turf mowers, sand pros and tractors, sod cutters, trucks, weed-eaters, trimmers, edger and blower.
Operates and maintains irrigation and drainage systems.
• May utilize a wide variety of manual, gas and electric powered hand tools, to include a hammer, shovel, rake, screw drivers, wrenches, digging bar, chainsaw, chemical sprayer leaf blowers, weed eaters, hedge trimmers and edger.
• Maintains buildings and equipment by keeping it clean and in a safe working order by emptying and cleaning waste receptacles, cleaning vents, fans and walls; clean equipment and tools after use and maintains cleanliness and order in storage areas.

• Event set-up and changeover to include moving, arranging, assembly and disassembly, setting and removal of items needed;
• Participates in work-site safety set-up - preps work areas; sets barricades and cones; conducts traffic control in accordance with uniform work zone safety standards; flag traffic.
• Responds to emergency situations in order to confine, resolve or prevent injurious or otherwise hazardous conditions due to fallen debris, spills, broken windows, broken locks, etc.
• Organizes and maintains inventory of maintenance supplies and tools.
• Reports equipment malfunctions and facility maintenance needs to immediate supervisor.

KITCHEN COOK I                    

SUMMARY: The Cook I will work in the main kitchen, catering and concessions, preparing food items for the facility and lead the Culinary Operations including off premises locations.

CONCESSIONS STAND MANAGER (P/T On-Call)

SUMMARY: Oversee the concession stands and handle operations, issues and situations during an event; control inventory during events.

• Verify the beginning and ending inventory counts in the concession stands;
• Keeps track of incoming and outgoing inventory;
• Ensure product is stocked and available to guest at all times;

CASHIER (Part-Time On-Call)

SUMMARY: Sell menu items at the concession stand, control waste and provide good customer satisfaction.

ESSENTIAL DUTIES AND FUNCTIONS:

• Follow all policies and procedures of SMG;
• Assist in the setup of the stand prior to event, (cooking pretzels, making hotdogs, etc.);
• Verify starting bank with money manager and handle money in accordance with cashier money handling policy;
• Keep track of all voids and over rings;
• Take orders from customers; Check ID for alcohol sales and enforce alcohol policy;
• Assist with keeping an accurate inventory count;
• Balance revenue sheet after each event;
• Help with post event break down, (cleaning, putting stock away, etc.);

OPERATIONS STAFF (Part-Time Regular)

SUMMARY: Change over the facility for events and maintain cleanliness of buildings and grounds.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Event set-up and changeover to include moving, arranging, assembly and disassembly, setting and removal of items needed;
• Equestrians event set up and changeover may include assembly and disassembly of animal penning;
• General cleaning and up keep of buildings, including buffing, dusting, sweeping, mopping, vacuuming, washing windows; cleaning toilets, urinals, mirrors, walls, arena seats, and trash cans.

RECEPTIONIST/ADMINISTRATIVE ASSISTANT (ON-CALL AS NEEDED)

SUMMARY: The Receptionist/Administrative Assistant assists customers, clients, employees and the general public by answering incoming calls and routing to appropriate department; provide administrative support to the Directors or Managers as needed.

ESSENTIAL DUTIES AND RESPONSIBILITES:

• Answers incoming telephone calls and determine purpose of calls.
• Answers questions about organization and provides callers with address, directions, event information and assist with event reservations; when needed, route call to appropriate personnel or department.
• Retrieve messages from voice mail periodically throughout the day and forward to appropriate personnel.
• Welcome on-site visitors, determine nature of visit and direct to appropriate personnel.
• Monitors visitor access and issue passes when required.
• Receive and sort incoming mail; maintain and route publications; coordinate pick-up for outgoing mail.
• Prepare deposit and receipt log for finance; update accordingly for finance.
• Distribute employee paychecks, pay statements and expense checks; distribute vendor checks.
• Generate monthly employee’s birthday and anniversary list and post.
• Maintain calendars to include board room, Arena meeting room and Heritage Club.
• Maintain office supplies.
• Maintain fax/copy machine and set up new users; send and retrieve faxes and route as appropriate.
• Assist other departments with clerical duties such as typing, photocopying, collating, creating documents, special projects, as needed.

USHER/TICKET TAKER (ON-CALL)

SUMMARY: Responsible for directing patrons to their seats for shows or events by performing the following duties. Demonstrates excellent customer service skills; responds promptly to customer needs, responds to requests for service and assistance, able to work independently and handle most questions without assistance. Efficiently and courteously answers questions concerning prices, seating, events, facility layouts and amenities. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Greet each Guest with a smile and encourage them to enjoy their visit to our facilities;
• Listen attentively to Guests' questions, concerns or suggestions and be prepared to answer their questions;
• Inspect your assigned areas for any safety hazards or seating irregularities prior to opening the doors; report any problems to the Event Manager on duty;
• Knowledge of the locations of the nearest restrooms, drinking fountains, telephone, smoking sections and concession stands;
• Face the incoming Guests (not the floor) while standing at the top of your section or in the center of your passageway;
• Constantly scan the seating areas for any unusual happenings;
• Scan your assigned area for cans, bottles, and any alcohol related problems;
• Be alert for any objects being thrown from the seating areas and from areas above your area; 
• Watch for seat jumpers to protect the integrity of the tickets;
• Prevent Guests and vendor from blocking walkways and aisles;
• Advise Guests who are smoking that it is prohibited in the seating areas and direct them to the •designated smoking areas outside;
• Direct and control the exiting of Guests in the event of an emergency evacuation;
• Report any incidents to the Event Manager on Duty;
• Report any medical emergencies to a Manager on Duty; assist in completing an incident report, if necessary;
• Thank Guests for attending the event and conduct a thorough search of your assigned area for any items left behind;
• Turn in all lost and found articles to the Information/Customer Service desk;
• Ability to use and operate Ticket Master Scanner to scan bar code on ticket;
• Require each person entering the facility to have a valid ticket;
• Examine patron’s ticket for valid date, proper facility, show time and seat location;
• Knowledge of reading the ticket text to direct guests to their seats;
• Take tickets at a pace to keep patrons steadily moving into the facility;
• Direct or escort guests with ticket problems to the customer service desk or Event Manager on Duty;
• Other duties and responsibilities may be assigned;
