Events Manager

SUMMARY

ASM Global, the leader in privately managed public assembly facilities, has an excellent opportunity for an Events Manager at Osceola Heritage Park, Kissimmee, FL. The Event Manager will coordinate and manage events at Osceola Heritage Park.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Meets with client groups to plan and organize assigned meetings and/or events.
  • Coordinates activities with the various service contractors and vendors for assigned meetings and/or events.
  • Coordinates/Assists in all outside services and equipment required for events.
  •  Works in conjunction with Food & Beverage in meeting and determining client needs.
  • Keeps clients informed as to the status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements, and other relevant details.
  •  Reviews floor plans and determines requirements.
  • Develops and design floor layouts on Meeting Matrix as needed.
  • Writes event work orders, contractual obligations related to insurance, deposits, etc.
  • Maintain accurate records of pre-event planning, client request, billable charges, service orders, contractual requirements, etc.
  • Prepares cost estimates and monitors final billing.
  • Assures quality service & timely invoicing.
  • Attends appropriate planning, organization, and other event and facility meetings in support of facility operations.
  • Explains and guides clients in the preparation of events by interpreting and explaining contract provisions, policies, and procedures.
  • Supervises staff and oversees all aspects of facility operations related to events.
  • Assists in the supervision of the part part-time service staff as needed.
  •  Serves as Event Manager for OHP events.
  • Serves as primary liaison between clients and facility departments.
  • Develops and maintains post-event information database files.
  • To include Post Assessment and Client Evaluation Forms.
  • Plans, coordinates, and executes events according to the needs of the client.
  • Issues proper paperwork and communicates all event needs and information. to all departments in a timely manner via EWOs and Event Change Sheets.
  • Interpret and explains contract provisions to the client.
  • Other activities as the event requires.
  • Monitors and assists with facility setup, changeover, and maintenance in conjunction with Facility Operations Manager as needed.
  • Maintains total responsibility and authority over clients, staff, personnel, patrons, security, and safety in this role.

Assistant Box Office Manager and Capital Coordinator

SUMMARY

The primary responsibilities are assisting with box office management and handling all aspects of capital for Osceola Heritage Park.  

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist the Box Office Manager with all box office functions.
  • Manage the box office when Box Office Manager is out and for smaller events.
  • Communicate effectively and positively with promoters, facility personnel, ticketing company, suiteholders, and patrons as needed. Solve problems and provide excellent customer service. 
  • Assist Box Office Manager with building and modifying all ticketed events. Maintain accurate inventory of all tickets distributed and available for sale.
  • Monitor daily ticket sales for all upcoming events and communicate information to facility management and promoter as needed.
  • With box office manager, manage box office cash, document all vault transactions, and make deposits.
  • With box office manager, maintain files for each event including holds, comp tickets, audits, etc.
  • Assist with supervising the ticket sellers in accordance with venue’s human resource policies and applicable laws. Ensure proper cash management and PCI compliance rules are followed.
  • Sells tickets as needed.
  • Prepare and submit box office statements for settlements as needed and daily reports of business transactions to finance department.
  • Assist with the distribution of tickets to suiteholders.
  • Assist Box Office Manager with management of Food & Beverage Vault upon request, assisting the vault clerks as needed.
  • Coordinate the budget requests for items to be purchased directly by the County including CIP, capital, and major building repairs.
  • Serve as liaison with Osceola County regarding capital and other major purchases. Ensure all related correspondence from the County is addressed, emails returned timely, answers provided, etc.
  • Assist the County with the purchase of all capital and major expenditures, following the County’s guidelines. Draft RFPs, write specifications, and gather quotes as appropriate.
  • Track the progress of all County purchases for OHP, notify the County and end users when items are received or if orders are delayed.
  • Establish & lead regular internal meetings with department heads and others as needed regarding the progress of capital purchases.
  • Attend quarterly meetings with the County regarding purchases. Prepare for the meetings, document the discussions, and follow up as needed.
  • Serve as internal custodian for capital items. Manage the annual capital inventory process, documenting the existence and location of every capital item. Oversee assistance from team members. Maintain capital inventory spreadsheets. Ensure new purchases are tagged. Manage the disposition of assets.

EDUCATION AND WORK EXPERIENCE

  • At least one year of box office experience with Ticketmaster is required.
  • At least one year of supervisory experience is preferred.

ESSENTIAL DUTIES AND FUNCTIONS

  • Produce and maintain monthly physical inventory sheets for culinary, concessions and catering departments.
  • Submits spreadsheet to accounting department with updated inventory values.
  • Code all incoming food and beverage consumable and non-consumable invoices to correct cost center.
  • Calculate and maintain food and beverage recipes for input into POS and Caterease systems.
  • Produce and distribute event “Flash Reports”.
  • Review 3rd party labor sheets and compare to invoices correcting any discrepancies before sending to accounts payable for payment.
  • Calculate inventory waste for kitchen during month-end inventory.
  • Consolidate event data, audit, and prepare files for distribution to Finance Department.
  • Significant data entry at times.

SUMMARY

The engineer is responsible for all aspects of facility maintenance and event setup and teardown.   • Proper utilization of the Work Order and ASM Maintenance Manager systems.
  • Adherence to OSHA, NFPA and other applicable safety codes.

SUMMARY

SUMMARY

ASM Global, the leader in privately managed convention centers and arenas has an excellent and immediate opening for a Lead Facility Engineer at Osceola Heritage Park, Kissimmee, FL. This position is responsible for maintaining full operation of technical and mechanical systems (electrical, telecommunications, audio/visual equipment, food and beverage equipment, and service vehicles) within the Silver Spurs Arena, Events Center, baseball stadium, and property. Ensure that the delivery of event-related utility services is set up in a timely manner and maintained during events. Work closely with the county facility maintenance team in maintaining physical plant systems and operations (HVAC, facility maintenance, roofing systems, plumbing, backup power systems, and fire systems).

ESSENTIAL DUTIES AND FUNCTIONS

  • Follow all policies and procedures of ASM Global.
  • Assist in the setup of the stand prior to the event, (cooking pretzels, making hotdogs, etc.).
  • Verify starting bank with money manager and handle money in accordance with cashier money handling policy.
  • Keep track of all voids and over rings.
  • Take orders from customers; Check ID for alcohol sales and enforce alcohol policy.
  • Assist with keeping an accurate inventory count.
  • Balance revenue sheet after each event.

PT Receptionist/Administrative Assistant

SUMMARY: The Part Time Receptionist/Administrative Assistant assists customers, clients, employees, and the public by answering incoming calls and routing them to the appropriate department; provides administrative support to the Directors or Managers as needed.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answers incoming telephone calls and determines the purpose of calls.
  • Answers questions about the organization and provides callers with address, directions, and event information and assists with event reservations; when needed, route call to appropriate personnel or department.
