PURCHASING COORDINATOR

Summary:  The Purchasing Coordinator is responsible for fulfilling the purchasing function in compliance with SMG policy.

Essential Duties and Responsibilities:

  • Oversee all purchasing except for petty cash transactions and food & beverage product purchases.
  • Ensure all SMG purchasing procedures are followed.
  • Ensure necessary paperwork and approval is completed before goods or services are ordered.
  • Establish relationships with a number of suppliers of the various types of items that are regularly purchased.
  • Research whether requested items are available from existing contracts or term agreements.
  • Work with vendors to secure the best price, utilize preferred pricing lists as appropriate. Conduct analysis to determine if prices are reasonable.
  • Ensure proper competition among suppliers is achieved by soliciting multiple quotations or offers.
  • Prepare Requests for Proposals as needed.
  • Review quotes and offers for compliance with specifications and time requirements. Review quality, warranties, life expectancy, and maintenance requirements. 
  • Coordinate letters of agreement and term agreements as needed.
  • Generate purchase orders to order items or services from vendors.
  • Ensure proper vendor contracts are in place.
  • Match receiving documents with purchase orders and requisitions.
  • Forward matched documents to the Finance Assistant on a timely basis.
  • Track which approved purchases have not yet been received.
  • Manage the purchasing software, currently eRequester.
  • Train new purchasing software users and ensure facility is utilizing the software efficiently.
  • Serve as liaison with Osceola County in regard to major purchases. Ensure that SMG follows proper county procedures.
  • Serve as internal custodian for capital items. Lead the annual capital inventory, handle new asset tagging & tracking; handle dispositions.
  • Serve as backup for the payroll function.
  • Assist with monthly food & beverage product inventory counts.
  • Other duties as assigned.

Education and/or Experience:    

  • High School diploma or G.E.D. required.
  • Associate’s Degree in Accounting preferred.
  • Experience administering business and/or governmental procurement policies preferred.
  • Experience with eRequester software preferred.
  • Experience with Accounts Payable preferred.
  • Experience with payroll processing preferred.

Skills and Abilities:    

  • Ability to function both independently and as a team member.
  • Ability to meet specific deadlines and successfully work under pressure, with close attention to detail.
  • Must be able to prioritize schedules, and follow instructions.
  • Experience with Excel is strongly preferred.
  • Excellent oral, written and interpersonal skills required.
  • Excellent math skills are required.

GROUNDSKEEPER

SUMMARY: Maintains the function and appearance of the facility, oversees the building grounds, and assures facility readiness for a smooth operation of events.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Performs a variety of grounds maintenance tasks to include edging, mowing, trimming, waste and litter removal, fertilizing, laying sod and raking. Spreads seed, plants foliage and shrubbery, aerates sports fields, lawns and soils, trims and maintains landscape. Drags and spikes clay infields (when/where appropriate).
• Performs custodial tasks to include emptying and cleaning waste receptacles; washing windows; dusting and polishing furniture; cleaning vents, air filters, fans, walls; changing light bulbs, cleaning restrooms and locker rooms.
• Performs physically demanding tasks requiring use of heavy grounds keeping, maintenance and/or custodial equipment.
• Performs general maintenance and upkeep of tools, equipment and machinery to include lubricates, services and fuels; performs routine light maintenance and repairs; cleans and maintains safe operation.
• Performs minor maintenance and repairs on facilities, structures, equipment, sidewalks, drainage and other County property in one or more of the skilled and semi-skilled disciplines to include plumbing, masonry, carpentry, flooring and irrigation,
• Operates lawn care equipment to include manual and riding lawn mowers, sports turf mowers, sand pros and tractors, sod cutters, trucks, weed-eaters, trimmers, edger and blower.
Operates and maintains irrigation and drainage systems.
• May utilize a wide variety of manual, gas and electric powered hand tools, to include a hammer, shovel, rake, screw drivers, wrenches, digging bar, chainsaw, chemical sprayer leaf blowers, weed eaters, hedge trimmers and edger.
• Maintains buildings and equipment by keeping it clean and in a safe working order by emptying and cleaning waste receptacles, cleaning vents, fans and walls; clean equipment and tools after use and maintains cleanliness and order in storage areas.
• Painting of facility fields, buildings – both exterior and interior, doors, etc., as needed
• Event set-up and changeover to include moving, arranging, assembly and disassembly, setting and removal of items needed;
• Participates in work-site safety set-up - preps work areas; sets barricades and cones; conducts traffic control in accordance with uniform work zone safety standards; flag traffic.
• Responds to emergency situations in order to confine, resolve or prevent injurious or otherwise hazardous conditions due to fallen debris, spills, broken windows, broken locks, etc.
• Organizes and maintains inventory of maintenance supplies and tools.
• Reports equipment malfunctions and facility maintenance needs to immediate supervisor.
• Performs other duties as assigned or necessary.

QUALIFICATIONS:

• High School Diploma or GED;
• Two (2) years’ experience in facility maintenance or an equivalent combination of education, training, and experience; 
• Valid Florida Driver’s license;
• Valid Florida Lawn and Ornamental Spray license or ability to obtain license within 90 days of hire;
• Fork Lift Certification or ability to acquire certification within 90 days of hire;
• Fluent in English including speaking and writing;
• Excellent communication skills and a good working relationships with departmental personnel, supervisors and the general public;

AVAILABLE PART-TIME POSITIONS

FOOD & BEVERAGE WAREHOUSE (Part-Time)

SUMMARY: Provides support to the F&B Dept. by maintaining inventory levels and stocking stands.

ESSENTIAL DUTIES AND FUNCTIONS:

Prepare product requisition forms for deliveries and transfers;

Help receive deliveries;

Able to use stock sheets;

Assist with keeping accurate inventory records;

Assist in pre event set-up and post event breakdown;

Transfer product before, during, and after events;

Follow all policies and procedures of SMG including adhering to uniform policy;

CONCESSIONS STAND MANAGER (P/T On-Call)

SUMMARY: Oversee the concession stands and handle operations, issues and situations during an event; control inventory during events.

ESSENTIAL DUTIES AND FUNCTIONS:

• Verify the beginning and ending inventory counts in the concession stands;
• Keeps track of incoming and outgoing inventory;
• Ensure product is stocked and available to guest at all times;
• Help enforce all SMG policies and procedures including alcohol policies;
• Ensure that all paperwork is filled out properly;
• Provide excellent customer service skills;
• Assist with training new concession workers;
• Other duties as assigned;

QUALIFICATIONS:

CASHIER (Part-Time On-Call)

SUMMARY: Sell menu items at the concession stand, control waste and provide good customer satisfaction.

ESSENTIAL DUTIES AND FUNCTIONS:

• Follow all policies and procedures of SMG;
• Assist in the setup of the stand prior to event, (cooking pretzels, making hotdogs, etc.);
• Verify starting bank with money manager and handle money in accordance with cashier money handling policy;
• Keep track of all voids and over rings;
• Take orders from customers; Check ID for alcohol sales and enforce alcohol policy;
• Assist with keeping an accurate inventory count;
• Balance revenue sheet after each event;
• Help with post event break down, (cleaning, putting stock away, etc.);

USHER/TICKET TAKER (ON-CALL)

SUMMARY: Responsible for directing patrons to their seats for shows or events by performing the following duties. Demonstrates excellent customer service skills; responds promptly to customer needs, responds to requests for service and assistance, able to work independently and handle most questions without assistance. Efficiently and courteously answers questions concerning prices, seating, events, facility layouts and amenities. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Greet each Guest with a smile and encourage them to enjoy their visit to our facilities;
• Listen attentively to Guests' questions, concerns or suggestions and be prepared to answer their questions;
• Inspect your assigned areas for any safety hazards or seating irregularities prior to opening the doors; report any problems to the Event Manager on duty;
• Knowledge of the locations of the nearest restrooms, drinking fountains, telephone, smoking sections and concession stands;
• Face the incoming Guests (not the floor) while standing at the top of your section or in the center of your passageway;
• Constantly scan the seating areas for any unusual happenings;
• Scan your assigned area for cans, bottles, and any alcohol related problems;
• Be alert for any objects being thrown from the seating areas and from areas above your area; 
• Watch for seat jumpers to protect the integrity of the tickets;
• Prevent Guests and vendor from blocking walkways and aisles;
• Advise Guests who are smoking that it is prohibited in the seating areas and direct them to the •designated smoking areas outside;
• Direct and control the exiting of Guests in the event of an emergency evacuation;
• Report any incidents to the Event Manager on Duty;
• Report any medical emergencies to a Manager on Duty; assist in completing an incident report, if necessary;
• Thank Guests for attending the event and conduct a thorough search of your assigned area for any items left behind;
• Turn in all lost and found articles to the Information/Customer Service desk;
• Ability to use and operate Ticket Master Scanner to scan bar code on ticket;
• Require each person entering the facility to have a valid ticket;
• Examine patron’s ticket for valid date, proper facility, show time and seat location;
• Knowledge of reading the ticket text to direct guests to their seats;
• Take tickets at a pace to keep patrons steadily moving into the facility;
• Direct or escort guests with ticket problems to the customer service desk or Event Manager on Duty;

Wait Staff (On-Call)

Wait Staff Summary:  To work both Banquet and Restaurant Functions within the Catering Department to include, Suite Attendant, Reception Events, Cart Service and any other function serving food and beverage items.

 

ESSENTIAL DUTIES AMD RESPONSIBILITIES

Required to read, understand and continually follow the Savor Catering/Osceola Banquet

Training Guide;

Obtain Safe Staff training within 90 days of employment.

Bartender will work Arena and Banquet Functions with the Catering Department serving beverage items.
