Catering Supervisor

              

ASM Global, the leader in privately managed public assembly facilities, has an excellent opportunity for a Banquet Supervisor at ASM Global/Osceola Heritage Park, Kissimmee, FL.

Osceola Heritage Park, a 150-acre complex, is home to the 11,000 capacity Silver Spurs Arena; 90,000 square foot Exhibition Building; Osceola County Stadium; Kissimmee Valley Livestock Building and the University of Florida Extension Services Office. Osceola Heritage Park provides a venue for events including concerts, family shows, sporting events, and trade shows.

 

SUMMARY
The Catering Supervisor will work in conjunction with the Banquet Manager and Catering Sales Manager in both Banquet and Arena Functions within the Catering Department to include, but not limited to, Suite Attendant, Banquets, Meetings, Bars, Heritage Club events and any other function serving any food and beverage items.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist with the training of new employees.
  • Oversee and direct staff for Catering and other events as directed.
  •  Assist with enforcing ASM Global/OHP policies and procedures including alcohol policies.
  • Serve as liaison with clients.
  • Fulfill the service per each Banquet Event Order (BEO).
  • Prep set up and organization of Catered Event; Prep breaks down and cleanup of Catered Events. 
  • Creativity in designing buffet presentations and coffee break décor.
  • Continuously improve the overall look and appearance of buffets.
  •  Maintain a line of communication with the Banquet Manager.
  •   Manage banquets in the absence of Banquet Manager/F&B Operations Manager.
  • Assist Banquet Manager with maintaining accurate labor for an event.
  •   Follow and maintain all cost guidelines for labor, beverage & food.
  • Maintain all Banquet equipment cleanliness on a daily basis.
  • Attend Weekly F&B Department Meetings and Menu Meetings.
  •      Other duties as assigned.

 

EDUCATION AND EXPERIENCE

  •  High school diploma or GED required.
  •  1 to 2 years' experience supervising other employees in the food service industry.
  • ServSafe and TIPS Certification or ability to obtain within 90 days of employment.
  • Fluent in English and Spanish preferred.

 

SKILLS AND ABILITIES:

  •  Advanced oral and written communication skills.
  •  Ability to communicate clearly and professionally with management, staff, and clientele.
  •   Excellent organizational, planning, customer service and inter-personal skills.
  • Attention to details and the ability to multitask.
  •  Ability to work independently and in a team environment.
  •  Must have a professional appearance and adhere to uniform policy.
  •  Must be fully flexible with schedule.
  •   Bartending skills preferred
  • Must have valid driver’s license and be prepared to load and drive company vehicles.

Physical Demands

  •  Position requires working extended hours, flexible hours including nights, weekends, and holidays, based on event schedule.
  •  Position requires physical ability to move about large facilities, including being on feet and walking for prolonged periods, bending, crouching, reaching, grabbing and/or standing up to and over 8-10 hours daily.
  •  May be required to work both indoors and outdoors as required by the event.
  • Position requires being able to be exposed to high noise levels during concerts and other events.
  • Position requires the ability to push/pull, lift equipment, boxes, and other items.

SUMMARY

The Marketing Manager supports the Director of Marketing in the planning and implementation of a complete marketing campaign for the facility and all events including public relations, advertising, social media, promotion, and sponsorships.

Essential Duties and Responsibilities

  • Work in a variety of media platforms (print, web and social media).
  • Support the public relations image of the facility.
  • Design ads for social media and print.
  • Manage and coordinate all marketing activities on event days.
  • Maintain relationships with media, industry influencers and key community and strategic partners.
  • Create and implement engaging content and campaigns on social and digital media platforms.
  • Update the website and all other marketing mechanisms for shows.
  • Seek and maintain working relationships with all media representatives, civic and industry organizations, corporate promotional contacts, and all existing clients.
  • Coordinate media/market research for upcoming and potential events.
  • Coordinate work schedules and job assignments for interns.
  • Coordinate all photographic needs for events and promotional purposes.
  • Create and maintain a digital photo/video library and press clippings.
  • Assist with Group Sales when necessary.

Education and/or Experience 

  • Bachelor's degree from a four-year college or university in Marketing, Journalism, Public Relations or related field.

Executive Assistant

SUMMARY

The Executive Assistant will provide a full spectrum of administrative support to the General Manager in addition to overseeing overall office administrative efficiencies.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answer and respond to General Manager’s telephone calls appropriately.
  • Plan and maintain the daily and long-term appointment calendar and schedule.
  • Plan and coordinate travel schedule and arrangements.
  • Receive, open and sort General Manager’s mail.
  • Ensure key documents are signed and routed appropriately.
  • Compose correspondence, memos, and emails.
  • Create Reports using Excel.
  • Take dictation at meetings and transcribe notes of the meetings.
  • Prepare and manage expense reports and expense reimbursement records.
  • Maintain required records and files.
  • Deal discreetly with large amounts of sensitive and confidential business information.
  • Prepare and organize meeting and presentation materials.
  • Perform research and data collection for special projects. 
  • Work with General Manager and Director of Booking to establish expansive network of arena, theater and artist promoters, agents, representatives/managers.
  • Assists with new concert, family, comedy, religious and theatrical programming for Osceola Heritage Park.
  • Obtains full understanding of venue deal points and agreements.
  • Contact prospective promoters, agents, managers, and individuals to initiate the sales effort on behalf of the General Manager.
  • Follow-up on leads generated by outside sources.
  • Send calendar of availability to promoters for potential events.
  • Draft venue agreements including those for General Manager and/or Director of Booking.
  • Negotiate venue deals with promoters and/or agents on behalf of General Manager.
  • Coordinate and provide back-up coverage with other administrative support staff, if needed.
  • Distributes information to staff regarding administration.
  • Oversees office wide IT issues.
  • Oversees office efficiency and protocols to make sure working conditions are good.
  • Other duties may be assigned.

 

EDUCATION AND/OR EXPERIENCE            

  • High School Diploma or equivalent required.
  • Associate Degree in Business Administration or completion of college level coursework is a plus.
  • Two – three years’ experience supporting a Senior Manager.

 

QUALIFICATIONS

  • Seasoned professional with strong work ethics; assertive, critical thinking and decision-making skills.
  • Ability to take-charge, as well as proactive and anticipate business needs.
  • Excellent organizational skills and ability to manage multiple, simultaneous projects and deadlines.
  • Excellent oral and written communications skills.
  • Excellent customer service and public relations skills.
  • Proficient in all Microsoft Office applications to include Outlook, Word, Excel, and PowerPoint; EXCEL PROFICIENCY IS MANDATORY

  • Ability to work independently and in a team environment.
  • Ability to work 40 hours per week and flexible and extended hours as needed.
