ADMINISTRATIVE ASSISTANT to Directors of F&B and Operations

SUMMARY:
Administrative Assistant to Directors of Food & Beverage and Operations.  Assists with requests and projects as needed.  Perform and coordinate all of the F&B and Ops office functions.  Maintain department files, correspondence, and generate office reports. Coordinates and submits documentation to appropriate departments.

ESSENTIAL DUTIES AND FUNCTIONS
Food and Beverage:
Answer and place calls for F&B Dept. as needed, and schedule appointments;
Maintain F&B Dept. filing system;
Maintain all F&B license renewals;
Coordinate and arrange meetings for F&B Dept.;
Assist with maintaining event paperwork process from start to finish;
Compile post event reports for F&B Dept.;
Submit hours and wages for 3rd Party employees;
Code inventory purchases by type (food, beverage, beer, etc.)
Calculate inventory waste for kitchen during month-end inventory;
Assist with purchase orders, End of Month Inventory process, monthly F&B Corporate reports, and prepare other reports as needed;
Place orders to vendors in a timely manner;
Reconcile events and submit event Cost of Goods and labor numbers to accounting;
Complete kitchen cost of goods for events;
Calculate conversions for kitchen during month=end inventory;
Assist with scheduling;
Others duties may be assigned;

Operations:
Compose and type routine correspondence;
Coordinate meetings, prepare agendas and make copies of agenda items;
Makes copies of correspondence or other printed materials;
Makes travel arrangements as needed;
Help maintain the Altum Work Order system;
Assist with filling out Procurement documents, purchase orders, etc.;
Assisting with safety committee and construction meeting minutes as needed;
Compile safety data sheets for all chemicals used at OHP;  review/ editing of safety programs and scheduling annual training sessions.
Other special projects as assigned; 

QUALIFICATIONS:
Two to three years’ administrative assistant experience; F&B and/or Operations is a plus;
Proficient in Microsoft software to include Word, Excel and Outlook;
Basic bookkeeping background to include data entry and reconciliation;
Excellent oral and written communication skills;
Ability to work independently or in a team environment;

FOOD & BEVERAGE WAREHOUSE:

SUMMARY
Provides support to the F&B Dept. by maintaining inventory levels and stocking stands.

ESSENTIAL DUTIES AND FUNCTIONS
Prepare product requisition forms for deliveries and transfers;
Help receive deliveries;
Able to use stock sheets;
Assist with keeping accurate inventory records;
Assist in pre event set-up and post event breakdown;
Transfer product before, during, and after events;
Follow all policies and procedures of SMG including adhering to uniform policy;

QUALIFICATIONS
Good customer service skills;

CONCESSIONS STAND MANAGER

SUMMARY
Oversee the concession stands and handle operations, issues and situations during an event; control inventory during events.

ESSENTIAL DUTIES AND FUNCTIONS
Verify the beginning and ending inventory counts in the concession stands;
Keeps track of incoming and outgoing inventory;
Ensure product is stocked and available to guest at all times;
Help enforce all SMG policies and procedures including alcohol policies;
Ensure that all paperwork is filled out properly;
Provide excellent customer service skills;
Assist with training new concession workers;
Other duties as assigned;

QUALIFICATIONS
Able to work in a team environment;
Excellent people and customer service skills;
Ability to follow written and verbal instructions;
Ability to supervise other employees;
Sound decision maker and knows when to concur with management if needed;

Must obtain and maintain an approved sanitation class that is required by the State;

USHER/TICKET TAKER

Summary
Responsible for directing patrons to their seats for shows or events by performing the following duties. Demonstrates excellent customer service skills; responds promptly to customer needs, responds to requests for service and assistance, able to work independently and handle most questions without assistance. Efficiently and courteously answers questions concerning prices, seating, events, facility layouts and amenities. 

Essential Duties and Responsibilities
Greet each Guest with a smile and encourage them to enjoy their visit to our facilities;
Listen attentively to Guests' questions, concerns or suggestions and be prepared to answer their questions;
Inspect your assigned areas for any safety hazards or seating irregularities prior to opening the doors; report any problems to the Event Manager on duty;
Knowledge of the locations of the nearest restrooms, drinking fountains, telephone, smoking sections and concession stands;
Face the incoming Guests (not the floor) while standing at the top of your section or in the center of your passageway;
Constantly scan the seating areas for any unusual happenings;
Scan your assigned area for cans, bottles, and any alcohol related problems;
Be alert for any objects being thrown from the seating areas and from areas above your area; 
Watch for seat jumpers to protect the integrity of the tickets;
Prevent Guests and vendor from blocking walkways and aisles;
Advise Guests who are smoking that it is prohibited in the seating areas and direct them to the designated smoking areas outside;
Direct and control the exiting of Guests in the event of an emergency evacuation;
Report any incidents to the Event Manager on Duty;
Report any medical emergencies to a Manager on Duty; assist in completing an incident report, if necessary;
Thank Guests for attending the event and conduct a thorough search of your assigned area for any items left behind;
Turn in all lost and found articles to the Information/Customer Service desk;
Ability to use and operate Ticket Master Scanner to scan bar code on ticket;
Require each person entering the facility to have a valid ticket;
Examine patron’s ticket for valid date, proper facility, show time and seat location;
Knowledge of reading the ticket text to direct guests to their seats;
Take tickets at a pace to keep patrons steadily moving into the facility;
Direct or escort guests with ticket problems to the customer service desk or Event Manager on Duty;
Other duties and responsibilities may be assigned;

Banquet Server/Wait Staff (Part-Time):

Server Summary:  To work both Banquet and Restaurant Functions within the Catering Department to include, Suite Attendant, Reception Events, Cart Service and any other function serving food and beverage items.

ESSENTIAL DUTIES AMD RESPONSIBILITIES
Required to read, understand and continually follow the Savor Catering/Osceola Banquet Training Guide;
Obtain Safe Staff training within 90 days of employment.
Fulfill the service per each Banquet Event Order (BEO);
Assist with set up and organization of catered event;
Serve food and beverage at events; provide excellent customer service;
Must be able to adhere to and enforce all policies and procedures of the company including alcohol and uniform policy;
Attention to detail and consistency in every aspect of service is a must;
Assist with break down and cleanup of catered event;
Maintain all Banquet equipment cleanliness;
Hands-on with all aspects of the Banquet Server duties;

Some knowledge of the food and beverage industry is a plus;

Bartender (Part-Time)                    

SUMMARY
Bartender will work Arena and Banquet Functions with the Catering Department serving beverage items.

ESSENTIAL DUTIES AND FUNCTIONS
Verify starting bank with money manager;
Handle money in accordance with the policies of this company;
Enforce all alcohol policies and check ID’s for proof of age;
Help enforce all policies and procedures of the company;
Provide continuous hands on service during the event;
Maintain all bar equipment cleanliness;
Assist with keeping accurate inventory count;
Keep track of all voids and over rings;
Balance revenue and inventory sheet after each event;
Make sure paperwork is complete and filled out properly;
Attend Tips certification class within 90 days of employment;
Obtain Safe Staff training within 90 days of employment;

COOK II (Part-Time)

The Cook II will work in the main kitchen, catering and concessions preparing food items for the facility.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Full fill the service per each Banquet Event Orders (BEO);
Preparing recipes as directed;
Maintain clean safe working environment;
Inspect all kitchen equipment for cleanliness and annual maintenance;
Other duties as assigned;

SKILLS AND ABILITIES                                                                  
Advanced knife skills;
Ability to follow directions and great attention to details;
Ability to work in a team environment and maintain positive attitude/approach;
Ability to multi-task;
Ability to be creative with buffet food presentations and maintain a quality product.

SUPERVISORY RESPONSIBILITIES                                                           
Supervise temporary labor staff as needed

EDUCATION AND/OR EXPERIENCE                                                          
Culinary Arts Degree or 3-5 years’ experience in multi-purpose, high volume Catering Operation.
